There are many things in our day-to-day work life that we do as second nature, without much thought as to why that particular process exists.
Sometimes the little details can be really important though, especially if you work in an industry with safety considerations. Did you know, for instance, that it is an employer’s legal responsibility to ensure the safety of workers, contractors and visitors entering a work site?
I have walked into many offices in the last 15 years, but only since I started working for TIKS did I begin thinking about how companies manage their reception and visitor registration process.
Documenting the arrival of guests names, times and who they are visiting is not only a sign of a well organised company, it has been a long time requirement under the Work Health and Safety Act. Considering the act also says that employers are responsible for ensuring the safety of all site visitors in an emergency, its easy to imagine why keeping track of all visitors is critical.
The Act also provides that visitors have a clear responsibility to observe the safety regulations of the workplace and to conduct themselves in a manner that ensures the safety of themselves and all others in the workplace.
It requires that visitors are advised of the organisation’s expectations regarding safety and be made aware of any potential hazards before they enter the premises. Many organisations will also want to make the visitor aware of certain company rules and regulations that may be important to their particular work site.
For an organisation to comply with these requirements it is critical that two distinct procedures are adopted in regard to visitors in the workplace: –
An electronic visitor ID system provides practical and cost effective solutions to both of these requirements.
Having an electronic system in place means that the visitor can be formally greeted as they arrive at the work site and also issued with an identification pass that highlights the critical safety issues that the organisation considers to be important.
The ID pass will enable the organisation’s workers to assist the visitor to remain safe whilst on site and to quickly escort them from the premises in the event of an evacuation.
An electronic sign system is a great example of how technical innovation can streamline the effort needed to meet a business’ safety requirements. The little details in life don’t always need to cause a headache!
